We use AI to help businesses transform, automate, market, operate, and grow. As AI becomes a bigger part of our work and the solutions we build, we are committed to using it responsibly, transparently, securely, and with appropriate human oversight.

Our approach is simple:

This policy explains how MoniPie Digital approaches the responsible use of artificial intelligence across our business, products, services, and client engagements.

01. Purpose

This policy establishes the principles and practices we follow when using, developing, integrating, or delivering AI technologies.

It applies to AI used for:

This policy applies to MoniPie Digital employees, contractors, partners, and others working on behalf of MoniPie where AI technologies are used as part of their work.

AI-generated results are treated as assistance or recommendations where appropriate—not automatically as final truth.

We do not intentionally design or use AI systems to discriminate against people based on protected or sensitive characteristics.

Where reasonably possible, we consider potential bias and take steps to reduce unfair outcomes.

3.3 Privacy & Data Protection

We take privacy and confidentiality seriously.

We aim to:

  • Avoid putting confidential or sensitive information into public AI tools without appropriate authorization.
  • Minimize unnecessary data collection.
  • Protect client and business information.
  • Consider data retention, security, and model-training practices when selecting third-party AI services.

AI does not change our responsibility to protect information entrusted to us.

3.4 Transparency

People should not be intentionally misled about the use of AI.

Where appropriate, we may disclose when content, interactions, or services involve AI, particularly where knowing this information is important to understanding or making decisions about the experience.

3.5 Accuracy & Human Review

AI systems can produce inaccurate, incomplete, biased, or misleading information.

We therefore expect appropriate human review before important AI-generated information, content, recommendations, or code is relied upon or published.

04. Prohibited Uses

MoniPie Digital does not intentionally use AI to:

  • Deceive, manipulate, or exploit people.
  • Facilitate illegal activities.
  • Intentionally discriminate against individuals or groups.
  • Exploit children or vulnerable people.
  • Create harmful or abusive content.
  • Impersonate individuals without appropriate authorization or consent.
  • Clone a person’s recognizable voice or likeness without appropriate consent.
  • Create deceptive deepfakes intended to mislead people.
  • Build facial-recognition databases using images or videos without appropriate rights or consent.
  • Make consequential decisions about people without appropriate human oversight.
  • Violate privacy or data-protection requirements.
  • Infringe intellectual-property rights.
  • Circumvent security controls or enable unauthorized access.

We may restrict additional AI uses where a particular technology, application, or client engagement creates unacceptable risks.

05. AI, Intellectual Property & Copyright

AI-generated material does not automatically eliminate intellectual-property responsibilities.

When using AI, we aim to:

  • Use content and data that we have the right to use.
  • Respect copyrights, trademarks, patents, software licenses, and other intellectual-property rights.
  • Review AI-generated material before commercial or public use.
  • Avoid knowingly reproducing protected material without appropriate rights.
  • Follow specific intellectual-property requirements agreed with our clients.

Client-owned information, materials, brands, and intellectual property remain subject to the applicable client agreement.

06. Client Data & Confidential Information

Client trust is fundamental to our work.

We do not intentionally submit confidential client information to public AI systems or third-party AI services where doing so would be unauthorized or inconsistent with applicable agreements and requirements.

Before using an external AI service with sensitive information, we consider factors such as:

  • Data privacy

  • Data retention
  • Whether data may be used for model training
  • Access controls
  • Contractual requirements
  • Applicable legal requirements

We aim to use the minimum information necessary for the task.

07. AI in Marketing & Content

AI may be used to support activities such as:

AI-generated marketing content is reviewed appropriately before publication.

We do not intentionally use AI to create fake customer experiences, fake reviews, misleading testimonials, deceptive claims, or unauthorized impersonations.

08. AI-Generated Images, Audio & Video

AI-generated or digitally altered media can create confusion when presented as authentic.

We aim to use synthetic media responsibly and avoid creating content intended to deceive people about whether something is real.

Where AI-generated or significantly altered content could reasonably be mistaken for authentic content, we may provide appropriate disclosure.

We also respect people’s rights and obtain appropriate permission before using recognizable personal likenesses or voices where required.

09. AI & Security

AI can introduce new security risks.

When developing or using AI-powered systems, we take reasonable steps to:
